Email retention periods and safeguarding emails

We are looking to introduce a 5 year retention period on emails and wondered what other schools do regarding safeguarding emails. Do you get staff to download them or have exemption rules for certain accounts?

@BKGarry what was the software you were telling me about the other day? Check a box and the email/text is recorded against the student name(s) in SIMS

we are using Edulink One for email contact with parents, there is a tick box that puts it straight into the communication log in SIMS :-)

That’s the one. Makes email retention very easy. Ot is tied to the student so you can find it easily and if the staff member who sent it leaves then there is no risk of it being lost.

Thanks, we have EduLink so I'll have a look into that. It's for the likes of emails from safeguarding boards, agencies etc mainly

Depending on what you are using, apply retention policies on your mail server. Anything tagged as ‘safeguarding’ has that policy.
