timbo343 Posted March 15, 2019 Posted March 15, 2019 Is there a way to specify or configure in mail flow an auto reply to any emails that are sent to specific email addresses without using Out Of Office. I've seen that a message be sent to the reciepent but nothing back to the sender. Either im missing something or MS just havent thought about this.

Cache Posted March 15, 2019 Posted March 15, 2019 I've done it through Outlook desktop client before with the following: If you specify a subject when you write the reply to the message it will go out with that subject, if you don't specify the subject it will reply RE: original subject You can't set that rule up in Outlook on the Web however, nor can you edit it afterwards. It needs to be done in the desktop client. Just make sure you have the except if Autoreply - I've ended up with someone in a loop of automated messages before because the mailboxes just kept autoreplying to each other....

The County use this address to send emails to so only want county domains, other schools and police to get the auto reply. At the moment there is a rule that is set to foward all email on to our domain from this domain so we dont lose any mail. I'm surprised MS dont have a mail rule for this, even something as simple as an auto reply would be needed for applications to say we have received the email rather than using Out of Office
Cache Posted March 15, 2019 Posted March 15, 2019 I did similar when I changed the domain, I forwarded the email on but the way our old county system worked it made it appear it was coming from the original sender still with the email address still being in the header. This rule only replied to mail being forwarded from that address. Sounds like it still won't address your problem, but I don't think I see what your trying to do that this won't answer? Is there any reason you couldn't connect Outlook up to this mailbox just to set up the rule even if it is a pain?

Cache Posted March 15, 2019 Posted March 15, 2019 Outlook doesn't need to be running as long as you choose the "Have the server reply" option selected - Office 365 will happily do that automatically, you just can't edit it from Outlook on the Web 1

Steve21 Posted March 15, 2019 Posted March 15, 2019 May be missing the obvious, but why not use the "reject the message with explanation" option? You can customise the message as to why it's rejected, e.g. Domain changed blahblah. Or did you still want it to receive some mail just notify others? (Didn't really get what you meant with the county bit) Steve
timbo343 Posted March 15, 2019 Author Posted March 15, 2019 We still would like the message to be delivered. All our county schools were issued a sch.uk email address back in the day. Now years and years later contracts are up for renew and seeing as we use our own domain for 99.9% of our emails, there are still a few domains (those in the council) that still use the .sch.uk domain so a nice friendly notice to say that our .sch.uk domain will no longer accept emails.

timbo343 Posted March 15, 2019 Author Posted March 15, 2019 Thanks, i only wanted it for set domains really as the majority of emails that are received to the ADMIN email address are all junk, marketing or other that i don't want those companies know about the closure of the domain. Those that know about the new admin@ email address have actually looked to source it.

timbo343 Posted March 15, 2019 Author Posted March 15, 2019 That did cross my mind, but would have to be set up on 2 accounts, may as well do the outlook client rule, once i set it i wont need to touch it again as the MX record wont exist
