Job Description

 

 

Key Responsibilities

 

PRINCIPAL PURPOSE OF POST:

 

The Management Team at MAC works very closely together seeing the arts programmes and business activities of the centre as mutually supportive and inter-dependent. The Head of IT is a strategically important position responsible for developing and delivering IT resources and services within the organisation, both at the arts centre and through its learning and participation activities.

 

RESPONSIBLE FOR:

 

The post holder is responsible for overseeing the work of staff and contractors as required and oversees the relationships with external IT support companies.

 

 

PRINCIPAL OBJECTIVES

 

This is a key management post in IT. The role involves and is responsible for:

· Strategic leadership and direction of new infrastructure projects including enhancements and replacement to existing systems.

· Project management of internal and external resources to deliver IT projects.

· Managing IT resources to deliver a consistently high quality service to internal and external customers

· Managing and/or supporting all the centre’s back-office IT systems including our event ticketing system (Spektrix), room booking system (Yesplan), EPOS system, accounting system (Exchequer), HR software (PeopleHR), Office 365 and integrated information used throughout the centre on plasma screens amongst others as well as having full responsibility for any projects required in these areas.

· Leading all technical aspects of delivering IT services for all functions within MAC communications internally and externally; marketing and customer relations.

· Leading technical aspects of delivering IT services for arts production and delivery, learning and participation programmes.

· Assisting in the development and implementation of new systems and to establish, communicate and execute support strategies required by our business plan.

· Designing and implementing systems and document procedures on user training, support and future IT strategy.

· Ensuring there is a robust approach to cyber security throughout the organisation.

 

 

KEY RESPONSIBILITIES

 

You will be expected to:

· Ensure the IT support provider is on call to cover emergencies and technical issues.

· Manage all IT subcontractors and project manage any internal IT work.

· Develop, manage and monitor all budgets for areas within your responsibilities.

· Provide effective IT resources as required for in-house production and co-production management (whether MAC staff or contractor).

· Create and monitor written procedures for incoming artists’ and companies’ use of MAC IT services.

· Ensure compliance with all relevant legislation e.g. GDPR, storage of data and PCI compliance. Ensure that all data is protected and backed up in liaison with the current external support organisations.

· Support the Creative Learning offer at MAC developing digital events and courses.

 

Maintenance, support and development

 

· Liaise with our external IT support providers and specialist software support companies to identify, prioritise and resolve all reported problems with systems, hardware/software and/or network problems, including event ticketing system hardware, in a timely and professional manner.

· Liaise with our external commuications providers to resolve any issues with Internet and voice communications.

· Manage the site telecoms infrastructure including VoIP and call logging management software.

· Develop, review, monitor and report key service level agreements with performance metrics for each of the functions under your responsibility.

· Undertake hardware and software auditing.

· Establish renewal & replacement needs for equipment and stock.

· Oversee the setting up of all user accounts and staff digital inductions.

 

Management of Staff and Contractors

 

· In liaison with the Head of Techncial Resources monitor the performance of the Digital Media Technicians

· Ensure the Digital Media Technician maintains equipment so it is ready for the programmed courses and events.

· Ensure effective communication with all departments.

· Ensure that the Department adheres to all MAC's administrative, HR and other procedures.

· Implementation and monitoring of safe working practices.

· Assist the Head of Creative Learning in supporting specialist staff for digital courses and events.

 

Financial & Resource Management

 

· Ensure financial procedures are followed.

· Work with the Senior Management Team of MAC to create annual and long-term budgets for the department.

· Assist with the creation of budgets for specific IT capital and renewal programmes.

· Ensure appropriate contracts are negotiated with contractors and provide effective management of those contracts.

· Supervise, plan and control expenditure to remain within agreed budgets.

· Monitor stock levels.

 

External Relationships

 

· Maintain and develop good contacts and relationships with other members of staff at MAC, customers of MAC, companies and artists working at MAC, contractors and suppliers, departments of Birmingham City Council, funding bodies, relevant external organisations, other venues and individuals.

· Maintain awareness of developments and trends in IT.

Essential

 

Qualifications

 

· Qualification in IT or equivalent training and experience.

 

Previous Experience

 

· Experience with IT back office/systems administration.

· Experience and knowledge in IT equipment.

· Extensive experience & sound knowledge of IT technical management

· Excellent understanding of the disciplines of IT services management.

· Excellent knowledge and experience of the following;

· Microsoft Server operating systems

· Microsoft Windows Desktop operating systems

· Active directory

· Group policies

· Microsoft Exchange server

· Virtual servers using Hyper-V

· Microsoft SQL Server

· IP networking and technologies including DNS, DHCP.

· Knowledge of IP Firewall concepts and VLAN technologies would be desirable

· CISCO aggregation

· Data security and protection experience

· Strong line management skills

· Strong project management skills and experience.

· Appreciate the needs of, and be able to work with a wide range of individuals, companies, artists and contractors not under your direct management control.

· Self-motivated & able to work on your own initiative and as part of a team.

· Excellent written and verbal skills, and the ability to communicate with a range of people at different levels

· Substantial budget management experience

· Willingness to learn new skills and activities.

· Works well under pressure and to deadlines.

· Good administrative, staff supervision and training skills.

· Excellent eye for detail and a commitment to excellence.

· Reliable and takes a positive approach to work.

· Understands the importance of good customer relations.

 

Desirable

 

Knowledge of

 

· Cisco LAN and VLAN technologies

· Telecoms systems particularly Avaya (VoIP)

· Ticket office systems or similar

· Ability and willingness to work unsociable hours occasionally
