New Staff Timetables & Registers Won't Show, But Are In?

Hi all - something of a strange one. We've a new admissions team here and I'm not sure all went right with the new staff setup and timetabling, but as it's on a computer it's DEFINITELY the computer man's problem at this point!

 

What seems to be happening exclusively for our new staff starters here is that their timetables won't show up on the homescreen timetable section and they're unable to take registers. However, if I then go into Staff (little dude icon on the top toolbar) > Links > Staff Timetable they have classes assigned, and if I go to Links > Staff Groups they're definitely in classes there.

 

However...

 

If I then go to System Manager > find them > Links > Staff Groups they have nothing showing, where a 'normal' teacher does.

 

Does anyone know how to un-pick this? Our SIMS support don't know and have moved it up to Capita, but, nice folks though they are, I can't rule out an inexperienced data team having left a step out somewhere?

 

Anyone got any clues from what I'm on about? Extremely grateful for any help! :)

I've also spotted that in Staff > (find one of the new ones) > Employment Details tab they don't have teacher number assigned. That right/consistent/causing me grief?

When the users were created in Systems Manager were they linked to the staff in Personnel? It's entirely possible to create users in Systems Manager with the same name as staff in Personnel that have no link with each other. In their SIMS Roles do they have Employee? On the user account page under 5 and 6 do they have their personal email addresses and home address?

Just to explain that better - when you click New in Systems Manager it allows you to enter basic details to search the system. Hit Continue and it will find similar matches. From there, if you select a person and choose Open the new user account becomes linked to the person. Click New on the other hand and you get a new user that isn't linked to any person on SIMS.

Hi - yes this section I did myself, but only this section. All users were matched when created rather than created entirely anew.

 

There is only an email address in the contact details (section 5) of the ones going wrong. Oooerr, is that it?

It would depend on your Personnel access rights. If you can't see Home Addresses in Personnel they won't appear in Systems Manager either.

 

When you search for them as a user does Employee appear in the SIMS Role(s) column?

 

Have they been added to a suitable Group (like Teachers) for permissions that has a start date in the past?

 

It's unlikely, but would HR have re-created their personnel record for any reason? They could be linked to an old HR record.

Do their staff codes for this year in Manage Classroom Staff match the codes that they have been assigned in Nova-T? When you send the timetable from Nova-T to SIMS it should advise you if there isn't a corresponding teacher code in SIMS. These should have been checked in the housekeeping and end of year procedures last academic year, but this can easily be missed.

In terms of their roles, then at the least I would assign them 'Class Teacher' permissions in System Manager.

Ah, now I have seen one of them in twice! When I've been to eg System Manager and tried to add a new user with the same name (just for an experiment) it's found the account that seems to be awkward PLUS one with the same name, which looks to be a member of the correct groups.

 

Question is now, how do I un-marry the user account to the employee account, then marry it up to the correct account after?

Delete the account in System Manager and re-create them there unfortunately!

Gah, they've already logged in and it won't let me. Any way to do it or will it be new username?

Done! Worked a treat cheers.

 

I have a feeling from this point there'll be no catch-all answers and I think they've been cack-handed at various stages now. I've checked them all for the above mistake and found the one account, but now I'll be plodding through each individually.
