Electronic Document Storage solutions

Hello.

 

We've started to consider EDM solutions for helping with GDPR and SAR's in general but surprised not to find many/any threads on this here (recent).

 

We're looking initially at mStore from Arena, as they brought it to my attention 3 years ago when we tendered copiers.

 

Anyone using mStore or any alternatives?

I look at mStore a number of years ago with another school and didn't like the look of it. Client based with no cloud access (At least a number of years ago it didn't) and it only seemed to tag documents. Something you can easily do in SharePoint. So we developed SharePoint which should cover everything you need. It just takes a bit of setting up. The issue is getting staff to fill in the information required for these types of retentions, look ups etc to work.

We started looking at this a couple of years ago, just to try and get a hand on paperwork in the place, with a particular focus on Accounts, but there was no will in the admin team to push it forward so I dropped it. I looked at Ricoh and Sharp, with the Ricoh system looking really comprehensive while Sharp looked functional. The Ricoh system could read the document and apply logic based on data fields as well as learning from manually editing the logic. I was looking at cloud systems, so we didn't have to host and were safe in a Disaster Recovery situation. Spindle is another one I have heard of, but that may be more accounting based.

I avoid all software written by hardware people, as it's terrible. There's addons for google drive, or zoho docs for example

Not a school, But I have used OpenText eDocs (nee Hummingbird edocs), We used the solution for physical files so it stores the metadata about the files, But they have a solution for storing and managing electronic files.

+1. Also add Capita to that list. Their EDS product is terrible too (not to mention ludicrously expensive).
