Migrate email O365

Hi

 

We have a user who is leaving and would like to migrate her email from her Academy account e.g. AUser@***academy.co.uk to her trust account e.g. AUser@***trust.co.uk (we are a MAT). I created her trust account sometime ago but I just need instructions on the best way to do this. All options tend to lead to using 3rd Party applications, which for one user does not seem worth it.

Okay, easy and straight forward solution here.

 

On your Office 365 Tenant open up Security & Compliancy Centre. Head over to Search & Investigate -> eDiscovery. Create a new case and search your users and select all Emails. Then just Hit the download button and follow the instructions. After that you'll have a pst, pop that on a cd and encrypt and password protect and give that to her to her and let her take it to the new academy IT team to upload.

 

Or even easier, get her to login to a Outlook client on mac or PC. MAke sure that all contect is kept offline so it will download the full mailbox, then file, export pst. Save that and then put that on a CD, encrypt and give that to her to give to the new academy IT team.

Or you could just give her an smtp alias of the ***trust.co.uk and then change her UPN in o365 to be the new email alias, that way there needs to be no changes, she can also then continue to use her old email address. May not be as easy as it sounds now as it sounds like you have already created her trust account.

 

The process we do is what I've said above, for those moving from school to trust we just add an alias to their existing account and change the UPN to that alias and then set the reply address to be the new trust account. Sometimes people then come back to the school after a years secondment and we can then easily unpick it but just reversing the process.
