CommodoreS Posted September 28, 2017 Posted September 28, 2017 Very quick question - Are schools allowed to take and keep a photocopy of a DBS check certficiate? I am hearing different answers from different people, some saying only the top part can be photopied and others saying they can photocopy the entire certificate.
Joanne Posted September 28, 2017 Posted September 28, 2017 I thought they just needed the number off the top of it?
elsiegee40 Posted September 28, 2017 Posted September 28, 2017 No they aren't allowed to keep a copy. They simply take a note of the number and the date of the check Moving to DP forum
elsiegee40 Posted September 28, 2017 Posted September 28, 2017 More accurately, you can keep a copy for 6 months, but no more. The certificate is the property of the employee so the only thing you have a right to is the certificate number and the date of the check. From DBS checks: Guidance for Employees - Duration of Criminal Record Check Validity - Gov.uk You can keep a DBS certificate for no longer than 6 months, to allow for consideration and resolution of any disputes or complaints after a recruitment or suitability decision is made. If it is considered necessary to keep the certificate information for longer, you should consult the DBS. 1
forkies Posted September 28, 2017 Posted September 28, 2017 As part of our safeguarding, staff DBS are recorded in single central record (along with volunteer DBS and other persons who regularly work here) only the dbs check record number and check date. Any visitors dbs are photocopied by our reception team and the visitor is told that the copy will be destroyed at the end of the day (once the dbs number is recorded). We just had a safeguarding audit and this passed.
