[sims] Attendance report - Am I being an idiot?

So we have an Ofsted going in at the moment and our new attendance officer was after some data in a hurry. She wanted to know the % Attendance & AEA for our K code SEN students over a specific date range, so...

 

I created a report in Sims with the following fields:

 

Surname

Forename

Year group

% Att & AEA

SEN Status code

 

I then added the 'blue' Attendance marks section to add it, went to the filter section in it, selected 'mark date' and 'between' and selected my dates (1/12/16 - 21/12/16).

 

The problem being is that when I run the report it doesn't seem to apply the date filter at all. If I run the report again without the date range it gives me the exact same data. If I run an individual student attendance report for one of the SEN students I can see he's got 100% for that date range, yet it's return the whole academic year figure of 94%.

 

So, I'm being thick I guess. I'm sure I've made a report work previously using this method :/

My apologies, I should have mentioned in my original post that we've procured the data now so that's all sorted. It was more the fact that I couldn't get the date range filter working for love nor money. However I'm sure I've used it in the past with that exact same method...

Because the % Att and AEA is taken from the student record (so covers year to date) - the filter you are putting on affects only the data contained within the blue section, so if you were to add fields from within the blue section you'd see they were only over the date range selected.

So is there no way to get those data fields affected by a date range? Any Sims trickery or devil worship that might work?

Well it would still be infinitely easier to just use the inbuilt report, i just tested it and it works flawlessly and with a minimum of faffing.

 

I've just had a play with writing an attendance report like you've described and the closest i can come to it involves dumping loads of raw data in excel and then adding it all up. Would definitely use the built in report!

You cannot calculate the percentage within SIMS but

If you create your own report and pick the simple fields, you can use the attendance marks sub report for the tricky bit, filtered in the following way

Mark date is between...

AND

Statistical meaning is one of Present, AEA

 

This gives you a count of the total Present and AEA

 

Click the copy button (blue curly arrow at the right hand side) to duplicate the attendance marks sub report) and modify the query to show

Mark date is between...

AND

Statistical meaning is one of Present, AEA, Authorised, Unauthorised

 

This gives you the total possible marks (for the same date range as above)

 

You would need to dump this into excel and then calculate your percentage though

 

Another trick is to use an Attendance letter

If you have any attendance letters created (must be a % attendance letter) you can set your date range, and run the letter for the whole school where the percentage is At Least 0 % - ie everyone.

If you choose the 'Print data file only(CSV format) option it will create a csv file with all the kids and all the % entries you might need (plus some stuff you dont). This will not include the SEN stuff however, so will not help with your example.
