TomHD Posted January 24, 2017 Posted January 24, 2017 Morning All, I am struggling to design a report and hoped someone could offer some assistance. I am wanting to pull all the contacts and their email addresses for all students on roll. I have managed to get this far but my problem is I get duplicate records where a contact has more than one child on roll. How do I design the report so that the duplicates do not appear? Many thanks, TomHD
rad Posted January 24, 2017 Posted January 24, 2017 Could you not export to Excel and then remove the duplicates? https://support.office.com/en-gb/article/Filter-for-unique-values-or-remove-duplicate-values-ccf664b0-81d6-449b-bbe1-8daaec1e83c2 1
ITBadger Posted January 24, 2017 Posted January 24, 2017 Sometimes it's easier to get the data into Excel and continue to work on it there. You can suppress duplicates from within Excel as shown here. - - - Updated - - - Could you not export to Excel and then remove the duplicates? https://support.office.com/en-gb/article/Filter-for-unique-values-or-remove-duplicate-values-ccf664b0-81d6-449b-bbe1-8daaec1e83c2 Haha! Beat me to it. 1
TomHD Posted January 24, 2017 Author Posted January 24, 2017 I did think that might be the solution, just wondered if SIMS could have done it for me
enjay Posted January 24, 2017 Posted January 24, 2017 There's an option in SIMS report designer to suppress duplicates, if memory serves it is a tick-box on the final screen. 1
TomHD Posted January 24, 2017 Author Posted January 24, 2017 @enjay, thanks, that box is ticked but my report is still throwing out duplicates... who knows! I'm following the advice of @daveleonard and @rad and fixing it in Excel
Esteban_Child_of_the_Sun Posted January 25, 2017 Posted January 25, 2017 Is your report a student focused report or a contact focused report? If you just want each contact displayed once then make it a contact focused report with a filter of linked to an on-roll student.
bobsmith Posted January 25, 2017 Posted January 25, 2017 the other thing could be that you really do have duplicate contacts. It's a frequent issue where admin staff don't check for an existing contact and create a new one, or the CTF is subtly different and SIMS creates a new one.
