Office365 - Migrating Email from School to Alumni

Dear all,

 

Since academic roll forward, our school leavers' Office365 accounts need to be moved to an alumni status.

 

I am keen to know what other schools do to manage this transition, now MS offer alumni accounts. Do you use a specific alumni domain address? If so, is there any way of automatically migrating email to the alumni accounts? How do you communicate these changes to students?

 

I am hoping someone has gone through this process and can advise.

We don't have a separate alumni tenant(if that's what you mean by 'specific alumni domain address'), alumni users continue to use the email accounts they were using in school so there's no migration needed. All we do is change their licenses to alumni, do address list separation(so that they can't search current staff/students email addresses any more). There're also mailing rules to control who can email to alumni mailing lists.

Following up on this there is a further license SKU available for Alumni - specifically Exchange (EXCHANGESTANDARD_ALUMNI) - which a number of our customers use. We have just swapped the license over for their leavers; which preserves their mailbox - and the school let the pupils know. I don't see why changing the suffix too should present an issue. They can then keep using the same mailbox - even if the license applied to it, or actual mail addresses change.

Like to know more about the Alumni, we are a college. We have been using Office365 for about 2-3 years now and normally let the accounts just quietly die a death.

 

Not been really asked about the Alumni yet but nothing like a bit of Fore knowledge :-).

Thanks to all for responding. I think I will be asking Salamandersoft to change the student licences across to alumni for leavers.

 

This will solve a big headache, we have had students complain about their emails being deleted 6 months after they leave the school!!

 

All good, well at least until Microsoft decides to start charging for them I guess .
