I have a few network Canon printers that when users will print to them they are prompted for a Department ID occasionally, not every time. I checked the printers' web interface and the device settings for Department ID and both are not enabled. Any reason why this would be?

Are you wanting to use Department ID or not use it?

 

If you want to use it, how are you managing and deploying your print queues? Are these shares on your print server and deployed to users via GPO?

Then I would make sure to set the Device Settings information on the print queue thats on the print server and then any "Printing Defaults" under the Advanced > Printing Defaults tabs. I would then make sure your Group Policy is using an "UPDATE" action so that way your user's queues are always updated by any changs made to the queue on the print server.

 

If its asking for it sometimes and not other, that means the user is either editing their shared queue on their workstation during a print job or using some other queue. It could be that maybe theyre attempting to use the Secured Print and using Department ID on accident?
