Editing uploaded & linked documents/Individual reports

Hi

 

We create student progress reports using SIMS Assessment Manager Individual Reports. To provide parents with online access these are uploaded and become linked documents to the students record

 

There is a small handful of reports that I need to manually edit. How can I edit the uploaded xml files and save so that online versions show the changes?

download it, edit it, then manually upload it to the student's inked documents and delete the old one.

Thanks Bob. Not quite as simple as that I'm afraid.

 

The uploaded document is created as an XML Word doc with Type AM Individual Report. I can only select View and it opens in Read Only.

 

I can save the read only version as a new document and then edit it but I can't upload a New document with Type = AM Individual Report. Only choices available are General Document, SEN Full Description or Student Medical.

 

Am I missing something obvious?

Right you are sir, just tried it myself, can't change the type to AM Individual Report either.

 

So if you just want the document attached to the kids record then my method works, but if you want to do it properly then it's not so simple.

 

back to the drawing board.

 

Can the parent see other document types on SLG?

I also don't believe the types are editable

 

We are not using SLG but using TASC Software's INSIGHT which works well for Parent's evening bookings

I think that INSIGHT is looking for type AM Individual Report but will upload a General type document and see if I can get it to show

 

The thing is that most reports of type AM Individual Report are correct and display OK. There are a small handful that need a grade edit eg student sitting a double award but in the same class as single award students

We have a similar problem with odd kids needing edits for some reason or another.

 

With students in a class doing a mix of double award and single, have you considered setting up separate aspects in the marksheet for recording the double grades separately to the singles?

 

When you are doing data analysis of grades do you manually duplicate the single grade?

A particular example in Y13 is that we running Performing Art BTEC. Most students are doing a Sub-Diploma but 1 student is doing a Diploma (Double award). We capture assessment grades as fine so D*2, M1, P3 etc. I am just being lazy not building a grade set to cover all possible permutations of the double grades and instead have 2 columns in the marksheets that capture a grade for single and a grade for double element so for a Diploma student they could have M3 and M3. I manually edit the report to show a double award of M3 M3.

 

When uploading to SISRA Analytics I manually edit the grade to MM

 

So to answer your questions

1. Yes, I have considered a double grade Aspect but 1 the permutations of possible grades are complex and 2 I think it will confuse the teachers. At the mo they have 1 marksheet for the whole P.A class. The Diploma student attends all these lesson so is on the single PA class register and class marksheet

2. Kind of I capture 2 single format grades - one for the single award and the second for the double award and manually edit the report to show as a double format award. I also manually edit grades before loading to SISRA

 

The number of these occurrences does not make it a big deal but if I upload a report for this student it will show only the single PA award (not Diploma)

Do you have responsibility for the post 16 census info?

 

How do you link these odd students to the courses/qans?

 

I know I'm moving away from your original issue, just curious as this was a major headache for us too. I've taken a lot of the manual editing out of the equation but being religious about assigning students to the courses they really do, not just the classes they are in. More work at the start, but much less work and risk of it being missed later on when it matters.

Yes I do the Oct census and Post 16 learning aims etc

 

I have created a new course in course manager for the Diploma and 90 Credit (since we had 1 student doing that - left now tho'). I manually enter the students as opposed to assigning a class and have unlinked the auto class link and membership linj

 

When it comes to learning hours I manually edit these for the Performing Art students as some of qualification hours are not timetabled
