CapnPugwash Posted June 8, 2015 Posted June 8, 2015 I have two users : Brian & Carol (made up names, you get the idea) Brian has left the company; all his emails are being forwarded to Carol. All his old emails have been exported to a PST file Carol needs her account changing so that when she sends an email it is Sent As Brian she doesn't need access to Brian's old emails & she doesn't want to change her logon credentials (she also need to keep receiving emails sent to her original email address) I'm sure there is an easy way to do this... But I can't think of it The closest I can get is: Delete all of Brian's emails (I have them backed up as PST) merge Brian and Carol's mail boxes Set all of Carol's emails to forward to Brian's mailbox Reset Brian's credentials Get Carol to start logging in as Brian This seems a bit 'round the houses'...
glen_j Posted June 8, 2015 Posted June 8, 2015 grant the send on behalf permission on brians mailbox for carol and use the "from" box in outlook on a new message?
CapnPugwash Posted June 8, 2015 Author Posted June 8, 2015 I know that's the 'easy' solution... unfortunately it's not what Carol wants! She wants all the emails she sends to be sent as Brian & she wants that to be automatic.... I don't think it's possible without changing her logon credentials
pantscat Posted June 8, 2015 Posted June 8, 2015 All of her emails? She doesn't want to send any as herself?
CapnPugwash Posted June 8, 2015 Author Posted June 8, 2015 All of her emails? She doesn't want to send any as herself? Nope. She wants her mail box as it is, she wants to keep receiving emails sent to her BUT she wants all emails to be sent as someone else I'm probably confusing things by using the names Carol & Brian as examples - in reality their email addresses reference their job title
pantscat Posted June 8, 2015 Posted June 8, 2015 Ahhh. Gotcha! That's fine - just change the primary default email address on her mailbox to "Brian", and add her current email address as a secondary one. Then change her mailbox properties so that her display name is set to "Brian"... then test it. That should be it.
CapnPugwash Posted June 8, 2015 Author Posted June 8, 2015 I gave that a whirl but got a proxy address in use error message ; which makes sense I guess because Brian's account is still active (the mail box has to be active)
pantscat Posted June 8, 2015 Posted June 8, 2015 Why does the old mailbox (Brian) have to be active? Can you not disable it?
CapnPugwash Posted June 8, 2015 Author Posted June 8, 2015 OK, I've looked Brian's mailbox and deleted his [email protected] address I've gone into Carol's mailbox properties and added the [email protected] and made it the primary address Exchange accepts this and doesn't throw any errors - however, emails sent to [email protected] don't arrive & when Carol sends an email it originates from Carol ... Is this because Exchange doesn't update straight away? I've run the Exchange maintenance cycle and this hasn't affected it. Brian's email box hasn't been disabled because people still send emails to it... In effect Carol is now doing two jobs.
CapnPugwash Posted June 8, 2015 Author Posted June 8, 2015 Ah... It seems to be working for external addresses... I probably can disable the [email protected] mailbox now...
CapnPugwash Posted June 9, 2015 Author Posted June 9, 2015 Just to finish things off, if anyone has been following this: In Exchange I deleted the proxy SMTP addresses on Brian's account & added them to Carol's account & made [email protected] the primary address This enabled her to receive / send emails sent using the [email protected] address - from external email accounts only I deleted Brian's account in AD and added his x500 / LegacyExchangeDN address a custom proxy address on Carol's account I can now send an email an internal account to [email protected] and it goes through to Carol... except where the old account info is cached in OWA/Outlook! We use Exchange 2010 , OWA (99% of our users use OWA) & Outlook 2007... looks like the way to clear the cache in OWA for all users is to download Exchange Web Services Managed API 1.2 & run a script Anyway - it's all looking good, thanks everyone for help and suggestions
