Sheridan Posted June 1, 2015 Posted June 1, 2015 We're having increasing problems with internal emails (sent from an individual to a group) being put into a Pending status, or marked as spam in the Admin Console reports. I've had the setting to ignore spam filtering for internal emails set since day one (2 years ago!) but this is happening randomly, and seemingly ignoring the fact I've set this option. For example, I sent an email to all staff - it went into the Pending queue for that group so I had to manually release it. Its a real pain as I don't know when or who this is happening to - short of checking the logs after every email! Has anyone else had issues like this? I'm starting to get a bit vary of GAFE now as people are complaing emails aren't arriving, and for once they're right!
rogerdnixon Posted June 1, 2015 Posted June 1, 2015 Have you got authenticated email setup? Its in GMail settings down towards the bottom. You need to put a couple of records into your domain hosting. Article about it: https://support.google.com/a/answer/174124?hl=en We had some similar issues - just called enterprise support and they walked me through the process. Not had any problems since. You can go into individual groups settings and there is an option to turn off SPAM filtering of posts - but if you have a lot of groups - probably not practical. 1
Sheridan Posted June 2, 2015 Author Posted June 2, 2015 We have those set in our DNS already, and the groups I'm having problems with also have spam filtering turned off but we still have these issues! I guess its time to talk to Mr Google....
LincolnE Posted June 2, 2015 Posted June 2, 2015 We had something similar, what we had to do in the end is also tick the box "Bypass spam filters for messages received from addresses or domains within these approved senders lists." Add your own domain into this and it'll allow the email to be sent, but it will also come up with a message "This email has bypassed the spam filter on your administrator request" (Or something along them lines.
Tesla Posted September 29, 2015 Posted September 29, 2015 Did this get fixed at all? Just noticed we are having these issues aswell....
Sheridan Posted September 29, 2015 Author Posted September 29, 2015 We never did get to the bottom of this, it still happens occasionally. The joys of cloud outsourcing I guess!
Tesla Posted September 29, 2015 Posted September 29, 2015 I only noticed coz our wage slips are done through emails, and they all arrived in spam this morning (it was only sheer luck i discovered this, i rarely check my own spam, gmails usually has been good with this), for all users, then upon further digging some internal all staff emails landed in there too, but not for all users. weird.
edutech4schools Posted September 29, 2015 Posted September 29, 2015 GMAIL has been solid at all my schools for the last 4 years but this week I have had a couple of teachers saying their mail is going to the spam when sending to internal. hmmm
Sheridan Posted September 30, 2015 Author Posted September 30, 2015 We've noticed another weird problem as well. If a staff member leaves and then returns, their account is re-activated OK and they receive emails again. However, one of the groups they belong to (the whole staff group) seems to set itself to 'No Email' and has to be manually reset.
Tesla Posted September 30, 2015 Posted September 30, 2015 Never noticed that, and we have a high turnaround here of people that leave and come back (god knows why they'd come back....)
IrritableTech Posted September 30, 2015 Posted September 30, 2015 I had a user report duplicate emails last night, but haven't found any evidence in the logs. Internal emails aren't being flagged as spam though thankfully.
Sheridan Posted September 30, 2015 Author Posted September 30, 2015 Our GAFE is linked to our VLE as well so that might cause our 'No Email' problem, but the spam thing is down to google I think.
CyberNerd Posted September 30, 2015 Posted September 30, 2015 (edited) There are two settings to look for. 1) Apps > Gmail > Advanced Settings > Spam > Tick "Bypass spam filters for messages received from internal senders." 2) Groups are technically not email, The default group setting for spam is to withhold it until it is approved by a group moderator. If you do not allow posting from external addresses it is safe to change this to bypass the spam filter and post to the group. The setting is groups > Groupname > Access Settings > Settings > Moderation > Spam settings. Edited September 30, 2015 by CyberNerd
CyberNerd Posted September 30, 2015 Posted September 30, 2015 I had a user report duplicate emails last night, but haven't found any evidence in the logs. This was a service disruption: Status: Service disruption We're investigating reports of an issue with Gmail. We will provide more information shortly. Recipients may be receiving multiple copies of some messages. September 29, 2015 1:23:00 PM PDT 1

But we still get things occasionally dropping into Pending status.
TIOAOA Posted September 30, 2015 Posted September 30, 2015 With regards to Gmail spam filtering - Yes we have a seen a similar issue with mails destined for groups (From an internal source) ending up in spam. I've raised this with GAFE support - who advised me to follow the steps outlined here https://support.google.com/a/answer/178723?hl=en However as of today this seem to not of cured our issue. Will be reopening the call and keep you guys aprised
