Hi all

 

I'm new to the forum, and new to cover manager job. just wanted some help re some data reports.

I have downloaded Craig Tolley weird and wonderful IT excel spreadsheet.

 

I have followed the instructions on run a report and export data but it doesn't seem to work. Which excel spreadsheet do I open?

I just want data for absence teachers etc in a graph etc.

 

Sorry it's all new to me.

Craig's spreadsheet takes 3 things from sims.

 

You need to load in data for a) cover b) classes c) absences, and from memory that has to be done as 3 seperate data loads.

 

After that point, it should be a case of making sure macro's are enabled and loading the data into his spreadsheet.

2. Open SIMS and go to Reports –> Import and import the SIMS Absence Reports.rptdef file from the extracted files.

3. Run the ‘Absences: Absences’ report and save the results in an Excel file.

4. Run the ‘Absences: Classes’ report and save the results in an Excel file.

5. Go to Focus –> School –> Arrange Cover. Open a Cover Day and select Print. Make sure Notice Board Summary, Full List and Include Reason for Absence are selected and click Print. Save the webpage to a folder either with the default .mht extension or a .htm extension. You will need to repeat this for every day that you wish to look at. I found that I could save a whole terms cover lists in around 30 minutes.

Where have you got stuck on the above steps from his site?

 

The import process should import a couple of additional reports. These will appear under Reports -> Run Reports -> Focus -> Staff -> Absences: Absences (with a supplier of Thomas Clarkson college)

 

And the classes one at Reports -> Run Reports -> Focus -> Classes -> Absences: Classes with the same supplier.

 

If you sort by supplier should be easier to find.

 

When you double click on the report, it should open a excel file , which you can then save read to load in later.

 

I'd get to the point where you have Craig's excel file + the 3 data files that he requires in the same folder so you've got all 4 files in place and go from there.

 

Also, just as a quick check - if you go to Tools -> Cover -> global Settings and look at the "reference start date for cover totals" entry - is that set to the current year - i.e. around 01/09/2014 or later?

thanks for the help,

firstly data that's ok is

1. class data 605 loaded in from jan to april 2015

2. cover data 58 days

3.set periods 2 weeks timetable

4. data range

I have problems with absence data, (getting error of INVALID ABSENCE DATA) not sure where I'm loading this as I have saved from tool/stats/absences plus the one from focus staff absences?? but our list had count? which I presume days off but has staff from years ago?

global settings have been reset to sept 2014.

 

hope this makes sense, I know it will be something simply, nearly there.
