Central storage area for people who dont like change

Got a few issues raising there head this morning.

The problem I have is I'm only on site one day a week so cant keep control of thinks like a full time tech would do.

As a small primary there was a decision not to have a VLE a few years ago as it never got used.

We have a server that has the staff home drive and also a shared staff drive, the theory is personal stuff in your personal drive ( though what is personal in a staff account?) and everything else in the shared drive ( so like lesson plans, planning resources etc) This isnt really working and staff are saving things to there personal area then when there off others are logging in as THEM!!! to get there planning. Thats problem one.

Problem 2 is there is staff taking data home on memory sticks and external HDD's which I want to crack down on.

I'm thinking of some kind of online storage but I dont know what would work for them as they dont like change would this be easier then trying to allow remote log ons from home?

I need to make things as simple as possible for them

Staff taking data home on memory sticks and external HDD's:

Data protection.

Child protection.

Username and password protection.

Make SLT aware of this via email stating your concerns.

Staff may require a refresh on data protection etc..

 

Explain the reason why shared drives are shared drives and why users have home drives and why they have been setup and how they should be used.

Misuse of usernames and passwords and the possible implications that this may have if ever a child protection issue was raised or inappropriate use of the internet provision.

All staff should not be swapping info relating to usernames and passwords.

 

VPN for home access? But staff would require a school bought laptop.

@MrPstv Thats what I thought. I have had the argument about sharing usernames and have quashed a lot of it by only allowing one log on. However that still doesnt stop people logging on as others, just means that a teacher cant log on in class and her TA log on as her in the library.

Would encrypting the USB's be on any more protection from Data Protection / Child Protection ?

My worry is they will put it on the USB encypted then go home with it and work on there own computer possibly saving a copy locally then you have the same issues again.

Bang it into the cloud as you call it, Google Apps or Office 365.

 

We use Google apps.

Not all info is stored in the cloud, word documents lesson plans etc.

Were a google apps school. Dont think they actually use it other then for emails.

Well it seems the staff need a shift out of the past and into the world of the Cloud.

 

Sounds like staff training is required.

Unfortunately it sounds more like a management issue. I would lay out the problems to SLT and they need to make a decision, if they are happy with how things are then that is how it must be. If not then they need to lay down the law to staff. Some instances of files going missing or interesting web history would be an eye opener to some. What ever happens I would get it in writing/email to CYA.

We moved to Google Drive a few years ago, it took a couple of years for staff to get on board but now most things are kept on there and then shared with anyone who needs access. It works pretty well.
