SIMS - checking for missing results

Hi I’m back again already! Can anyone recommend a way that I can check to see if Teachers have input termly results and reports comments. Each subject area has a different marksheet to enter the data with separate columns for each term. At the moment we check each of these marksheets individually to see what data is missing which is very time consuming, especially as we need to make repeated checks to see if it has been updated. Is there an easier way? Apparently the Missing Results report doesn’t do what we need to but I have so little experience of SIMS I wouldn’t know how to start!Thank you!

They need to tick the Complete box when the marksheet has been filled in before Missing Results will work. I think.

A report that checks would work but be a beast to write.

How about a global mark sheet with all info filtered by subject and linked to the course. All options in template set up.

The summary columns will tell you or just a visual check. It's still manual buy quicker.

If that works, make it the HoDs job to check!

Thank you! Marksheets have been set up for each subject with columns for each term's results so unfortunately they can check completed at any point. I will attempt a global marksheet..... sadly I am fast learning that HoDs are not doing the checks that they are supposed to!!

I'm in the same boat, ultimately it's down to me to ensure the results come in and provide a list to SLT to chase up. I'm using the global summary marksheet as I've just moved to putting all lower school data on one marksheet for the year and unhide/lock columns as I go.

 

Luckily the global marksheet also keeps the HOYs happy and provides a platform for exporting data for analysis so it kills three birds with one stone!

My new system has a report that checks for incomplete marksheets. It's automatic ) - so it only generates a false positive if a particular student shouldn't get a grade / comment for whatever reason, but it lists the field and subject, so easy to check.

Is that without having to buy an extra module?! I'd be interested to know if this feature can be used to inform the SIMS Manager or HoD because this thread is about not being able to track when assessments aren't complete.

It's great. The Deputy Head in charge runs it, (well gets me to run it!), and then can chase staff. When i say it's automatic i mean the ability to check on completeness isn't reliant on the user ticking a box.

 

Staff don't mind because they are going to be chased up anyway, this just helps the chaser and saves time.

 

As they're filling in the marksheet (in the portal ) it tells you how many pupils need completing, each row gets a tick when all columns are complete, and then the whole marksheet says it is complete when all boxes are filled.

 

As it happens, staff were worried when there was a student who joined late and wasn't supposed to get certain marks, as the marksheet wouldn't show it was complete. I had to explain it wouldn't affect the running of the reports, just highlighted for them there was still stuff to complete.

 

This data is what feeds the missing assessments report. Pretty snazzy.

@vikpaw - you'd need our communications option to email. The process checks on result sets having null entries and was designed to alert anyone that subscribes to that service.

Can the system have automated E-Mails suspended until they the list has been checked? I have staff who are off on long term and have no report entry for various internal reasons, wouldn't want to be sending them an E-Mail about it as it'd be a massive faux pas given the sensitivity of some cases.

@CAM yes you have control over when the checks start. @vikpaw - just an alternative way of sourcing your comms!

Don't need email or alternate comms. Just an easier way to keep check. A report written to do this would be really useful, but I don't think it would work quickly in the current SIMS engine.

 

Auto Email is overkill. The person in charge does the chasing and is aware of exceptions. Staff are told when to enter data and the deadline.

 

There is a change request up for Engage to highlight outstanding mark sheets on the home screen. That would be good.

 

Perhaps something similar on SIMS dashboard..? A widget maybe...
