Hello all!

 

We're using Office 365 through an educational implementation and are having issues with our calendar. We've successfully shared a whole school calendar with all staff, this calendar being set up under an admin account. There are a significant number of events on each day, however, so each day is truncated, showing a couple of events and a +x number for the additional events. Initially I was asked to see if there was a way to print the calendar so that all the events are visible, something that doesn't appear to be possible in the way required. We've since been advised by a colleague from another school that it is possible if you use the 'Expand All' command on the ribbon menu above the users' calendar.... Only trouble is, we don't have this menu and I can't find a way to activate one.

 

In summary: on a user's calendar page (from the link menu across the top, next to the Outlook link) we've been told there should be a ribbon menu, but we don't have one. We need it to allow all events per day to be viewed, and have been advised we can then proceed to print a copy of the calendar. I can't see, having gone through all the admin menus and controls I can find, how to activate this.

 

Any ideas?!?!

Hit 'Calender' from your top menu, when the calendar opens, look at the top right. That's where the print button is.

 

To view the full list of events for a day, look on the right hand side of the screen, halfway down, for a ' << '. This opens a list of the days events.

 

There is no ribbon menu or expand all above a users calendar as far as I can see.

Thanks for the reply - just to be clear we had found both the print command and the >> and << options for showing the day's events. The issue is about being able to print a sheet with all the events visible, rather than the truncated list and +1/+2/+3 at the bottom of each day. I can't find a ribbon, nor how to activate one, but we're told it is possible and I have been sent a screenshot...

 

Any other ideas?

That's Outlook 2013 isn't it? Not O365.

 

Or is it in Sharepoint? Can't tell from the pic.

 

Or am I going mad......

 

EDIT.... Nope, thats a Sharepoint calendar. I'm certain

I'm 99.9% sure it isn't Outlook 2013 - I have this installed and have checked the appearance and it is different. The screenshot appears to be an online version, either the Calendar link once you log in to Office365 or some Sharepoint page. The person who advised us that an expanded print-out is possible pointed to my screen and specifically said it was the Calendar page is where he sees the ribbon... I have asked him how it was activated, but no reply as yet. SLT are keen to work this out, hence I'm pursuing other avenues (you lot!)

This is what I was struggling with - it does look a bit like a sharepoint page, but the obvious question is then how you get a calendar already in existence to display on a sharepoint page. I've found how to create a new calendar on a page, but this isn't particularly helpful as the calendar we need to be able to print has many, many events on it for the entire school year...

I think I'm done with this issue, even if the answer isn't desirable. I've gone through and found that, while you can add other calendars as overlays to a Sharepoint calendar, this isn't possible from an Exchange Online account - so sharing a calendar created on one of our Office 365 accounts is a non-starter. Even if we then re-enter all our school calendar events on to a Sharepoint calendar and get the 'Expand All' feature, the Sharepoint page doesn't even have a dedicated print button! You have to use the browser controls which doesn't work very well...

Try putting the account in with Outlook. That might do it for you.

 

The above was just an executive summary - I've gone all round the houses and tried running it through Outlook 2013, but couldn't get it to work. Error message was talking permissions, but I have a suspicion there is more to it than that.

Just to wrap up - with the help of a colleague at another school who has been working with us as he is an expert in Office365, etc, we determined that producing a print out of a calendar with all events guaranteed to be displayed isn't possible. We can use a Sharepoint calendar and use the ribbon menu option 'Expand All' to see all events on each day, but this wont print and isn't accessible without a login. We can use the personal calendar feature in Office365 to print a monthly view, but this wont show more than a fixed number of events per day. Finally, we can use Outlook 2013 to display and print a calendar to A3 which, when non-work days are removed, will show most events, but still doesn't guarantee every event per day will be shown during very busy periods.

Next issue is that we might now have to keep our school calendar maintained in two locations so that the 'Expand All' feature can be used, but also so that we can link to an instance of the calendar from our website, but that's another story....
