eean Posted August 25, 2014 Posted August 25, 2014 Hi, Currently, new students get formally admitted in SIMS when they turn up on the first day of term. I understand this is the SIMS recommended way. However, this means they do not appear on class lists and any of our reports before the start of term, exactly at the time where teachers are wanting such lists. Will hell freeze over if we admit pupils a few days early? We are an international school so not subject to the various 'laws' on such matters. Occasionally, a pupil does not arrive. What would the best way be of 'un-admitting' such a pupil? Thanks,
laserblazer Posted August 25, 2014 Posted August 25, 2014 I'm pretty sure we put the new intake onto SIMS as pre-enrollment and then move them onto the roll when they turn up.
IWDave Posted August 25, 2014 Posted August 25, 2014 In the Year End Procedures Handbook. I'm sure it shows you how to print pre-admission lists off. 1
Spizzy01 Posted August 27, 2014 Posted August 27, 2014 You can enter students into SIMS.Net whenever you like - simply set their admission date to the date they intend to start. Their attendance 'timeline' will not begin until the admission date set. This way you can run off reports with an effective date past the admission date, where they would normally be on roll. As for removing students when they don't turn up - normally since they didn't arrive you wouldn't normally hold data on them. The best way to remove them is to go Routines > Student > Delete Student, and remove the student using that method. 2
GREED Posted August 27, 2014 Posted August 27, 2014 +1 for above, you cannot un-admit a pupil, you can only delete. 2
eean Posted August 27, 2014 Author Posted August 27, 2014 Thanks all for your thoughts so far. To clarify, the students' details are being entered into the admissions module prior to arrival and the admission date is set as the first day of term. However, they are not being admitted until they actually arrive. We can assign them to classes etc... and see their names amongst existing students in reports if we set the date forward (and I set it to 'all pupils' rather than 'on roll'). But not all of the information (e.g. Houses) can be accessed within the Reports module. Is that a permissions issue, or just the way it works? If we were to press the admit button early, can still set the admissions date to some point in the future?
Spizzy01 Posted August 27, 2014 Posted August 27, 2014 If you admit the students now, the admission dates will be automatically set to the date set in the intake group. So you can 'admit' them whenever you like - their admission date will remain the same. 1
DamienTT Posted March 1, 2016 Posted March 1, 2016 Hi eean, how did this go for you? I was going to ask about this but don;t want to duplicate post. In the past I think that we've waited until the first day of term before admitting students, which was a mental run around of registers and sims inputting. Last year I admitted them 'on roll' in August, with a start date of the first day of term and then moved the actual start date of students who arrived days later, or deleted non attendees. MI5 didn't bust down the school doors, so I may end up doing this again. Although, I seem to remember reading somewhere that deleting students is not 'best practice'. However, I'm beginning to realise that in education, 'best practice' is often a fine example of nonsense. Best wishes Damien
bobsmith Posted March 2, 2016 Posted March 2, 2016 nothing wrong with deleting pupils provided they were never legally on roll.
eean Posted March 3, 2016 Author Posted March 3, 2016 We didn't go for an early admission in the end. But I'm glad to hear that MI5 didn't get involved. We might give it a shot this time round. Thanks for the update.
DamienTT Posted March 3, 2016 Posted March 3, 2016 It was less frantic, 2 kids showed up a day later, changed their start date to a day later, so absence wasn't effected. No showers were deleted, which as bobsmith mentions is fine. Technically we're supposed to do this with the withdrawals and no shows anyway for data protection (after 6 months). So did you take manual registers and then admit them eean?
eean Posted March 3, 2016 Author Posted March 3, 2016 So did you take manual registers and then admit them eean? Yes, something like that. We're an all-through school so a have a gradual turnover rather than a sudden influx so it's no so bad. Useful to hear your experience. I will suggest this change for next year.
rhorswell Posted July 14, 2016 Posted July 14, 2016 Does anyone know whether it will affect the Year Group within SIMS if you admit students before the start of the new academic year? i.e. they are showing as Year 7s now in the pre-admission group; if admitted now (albeit with an admission date of 6th September) will that mean that when the new year rolls over, they will become Year 8s, incorrectly? Any help is hugely appreciated. Rich.
spanky Posted July 14, 2016 Posted July 14, 2016 Be careful with admission dates in the future as it can (I have been told) cause problems with ONE....

Any help is hugely appreciated. Rich. This shouldn't cause you any problems at all. When you change their status to 'Admitted' you aren't admitting them as of today, you're admitting them as of the 6th September (or whatever date you've set). They will come in on your roll in the Year Group you've set up within next years pastoral structure or pre admissions i.e. Year 7.
