Exchange mailbox query?

I'm a newbie when it comes to exchange.

 

I have a user that has emails going back to 2005 that she needs to keep.

 

However she now wants to have the email account accessible on her colleagues machine so that they can both check and respond to mail from this account.

 

The emails that are currently on her machine need to stay confidential and only on her machine and not her colleagues...

 

How would I go about doing this?

 

Can I just link this account to the 2nd outlook account and only new emails will come through to the colleague?

 

Also, if a email is deleted from one client will it be delete from the other?

 

Help appreciated on this as exchange is new to me.

Hi

 

I would suggest that you implement a simple auto forward rule to the relevant account.

 

Providing you set the rule up correctly (I.e. by date), you can control which mail is forwarded.

But then if client 1 deletes an email that email will still be there on client 2 won't it?

 

They want to be able to manage the mailbox on both clients

Missed that requirement.

 

Adding the email account to the second client is straightforward enough but how you manage the existing emails will depend on local requirements.

 

You can export to pst and then delete from account before allowing client 2 access.

 

Client 1 would then be able to import pst into a secondary account for example. This would maintain separation for confidentiality.

 

Alternatively, you could try moving the required emails into a personal folder and then password protecting these folders.

NP. Something to bear in mind when multiple users 'share' an account is the potential for overlap. I.e if send and receive is set for a 5 min cycle for both clients, you could have around 10 minutes when the account is not in sync.
