[sims] Exporting data about one student

The person who normally deals with SIMs requests isn't here this week so I said I'd do this, thinking it would be straightforward! Maybe it is...

 

What I need to do is export all data about one student - Attendance and results from when they first started. I can see it all in SIMs but they need it in Excel. I can't see any export options though.

 

What's the quickest way of doing this?

A way of doing it is - Routines - Data Out - CTF - Export CTF. Choose General and export the record to your own school. Gives you an XML, but everything should be in there.

Is this considered an ok way of doing it? Not likely to be frowned upon by Capita or anyone? I take it if I just delete the generated CTF after I'm done then it's all good?

CTF (Common Transfer File) is the standard way of sharing data between schools, usually when a student leaves one school to join another.

 

What exactly are you doing with the CTF? Whether it's "frowned upon" really depends what use you're putting it to... if, for instance, you were sending it via email to somebody, that would not only be frowned upon but a massive data protection risk, with a potential fine if you're caught...

Well the CTF contains all the attendance and result marks so I was just pulling that data out. Once I did that the CTF was deleted. I assume that's fine?

Yes that's fine, all I was trying to point out really is to be aware of the data protection issues involved, as quite often people don't. It's what you do with the data that's the issue, not the CTF itself
