  1. Hello We are just about to set up InVentry in main reception. It is going to be used for visitors initially and eventually staff and 6th formers. I am told staff/students will use it so we know who is on site at every point in the day so if there was an evacuation we would have an up to date record. So in theory the data could be deleted the following day. For visitors it will play the same role in terms of letting us know who is on site at any point in the day but feel like we should keep it a little longer in case there was another issue on the day they were here - this will be the only central record of their attendance (unlike staff/students whose absence/attendance is stored via other means as well as the new system). The IRMS retention guidelines states 1 year + 6 years which seems excessive. I am currently looking at perhaps 1 year which is what we did/do with our paper based signing in sheets. Can anyone advise how long they keep their visitor data for on this system or similar systems. Many thanks.
  2. A parent wants to see witness statements/incident report forms relating to an incident her daughter was involved in. Before we pass this can anyone tell me whether they are actually entitled to this information? The information does relate to their child but the source is mainly from other students and a few teachers. We have typed them up and redacted all names (except for the daughter) to protect the identity of people who have written the statements. Has anyone else had to share data of this nature? Thanks
  3. I believe it is any email that refers to them. For example where two members of staff have had a communication about how well the data subject did in their most recent observation I have included it but when it was a communication about arranging a meeting regarding the data subject I didn't include it as there wasn't actually any information about them.
  4. Many thanks, we believe we have collated all the relevant information at this point. After pulling out 4400 emails I have removed the 3000+ that don't actually contain facts, information, opinions, comments about the data subject! We will need to see if we can refine our searching in the future! Race against time now to redact where appropriate and get this wrapped up before the end of term. Hope we don't get too many of these, they are so time consuming and this member of staff was only here for 2 years!
  5. We have received a SAR from an ex member of staff. There will be many documents/meals that we will share that she will have seen before, but there will be some emails in particular that she may not have seen. Do I redact the sender of these emails or is the data subject entitled to see this? Many thanks
