Just warning for anyone who is converting to an academy, changing DfE numbers and using RAISEOnline!

 

Recently we have changed to an academy and changed out DfE number. While in a RAISEOnline training session I mentioned this to the trainer as I noticed in RAISEOnline we still had our old DfE number come up, he said that in the November 2013 update of RAISE we will lose all previous data (more than 5 years worth of past data!). This is because our DfE number and the accounts associated with that old number will cease to exist. He told me to contact the RAISE Helpdesk to double check this.

 

I emailed the help desk to check and the trainer was right. They got back to me pretty quickly stating:

 

"Your school opened on 01/06/2013, therefore access details will be provided next year just before the first set of 2013 key stage data submitted by the new school is released in RAISEonline, which will be later in the autumn term 2013. We will write to the new schools with their account details during that time.

 

When an establishment closes and re-opens as a new legal entity under the 'Education and Inspections Act 2006' and the 'School Organisation Regulations 2007' we are unable to share data and information on pupils from the predecessor school.

 

You are able to save full reports in a pdf format for the closed school from the ‘reports’ area of RAISEonline whilst you have access to the system. Historical reports are also available to save from the same section of RAISEonline (to access these please select the ‘view archived reports’ link). If there are additional interactive reports that you would like to save from RAISEonline, these can be exported to range of formats: excel, PDF, html format, TIFF and CSV. This option is in the toolbar for each report."

 

Basically what they said is all the previous data will be gone from the old DfE number and the accounts won't exist. Our new DfE number will have no past data to look at and we shall get completely new log in details.

 

RAISEOnline have recommended to export all reports on past data while I still have the access to the accounts which I shall be doing today asap!

The thing to remember here is the different URN number. The DFE number (i.e. LA/establishment) usually remains the same upon conversion.

If you have access to the imgateway, this access will also change so download any KS5 reports from here as well.

But yes, quickly export the reports otherwise you won't have them
