O365/M365/OUTLOOK > GOOGLE/WORKSPACE/GMAIL - MIGRATION ERROR?

Some of you may or may not have read recent posts from myself regarding the 'consultant' that has been brought in by the Headteacher to aid in the delivery of the computing curriculum... and how this has quickly escalated into a complete change in our IT environment (i.e. it was decided in a 20 minute conversation that we would start moving everything to Google Workspace)!

 

So, this weekend the consultant has decided to migrate the Headmaster and Admin email from Outlook to GMail...

 

I have walked in this morning to a message from the consultant saying that they could only transfer 1 year's worth of email on the Admin account (as it got 'stuck' going any further back), I'm unaware of the status of the Head's email, but I can tell you (although I'm sure you know) this will be unacceptable.

 

These are the main 2 email accounts for all school business, advertised on compliment slips, website, etc...

 

How can this be fixed...?

 

Does this impact anything (SAR requests, proof of anything over a year old)?

We've been advised by our DPO to set our retention policy for email to 1 year. Not sure what your policy states currently with regard to email?

Typically the migration tool thats built into the Google Admin console will handle 1 year back fine for most accounts. So when I've done say 100 staff accounts, I'd normally get a few troublesome ones. For those ones I spin up a VM with Outlook installed and Google Workspace Migration for Microsoft Outlook - https://tools.google.com/dlpage/gsmmo/

This take a little bit of setup - but will plod through any number of emails given time. Done accounts with >100000 items in the inbox and its what needed at times for bigger inboxes or if you want to go back more in time.

Going back a few years now but when I did it I used the equivalent of GWMME - https://support.google.com/a/topic/9064794?hl=en&ref_topic=13002773&fl=1&sjid=17358763373322878011-NA.

I did migrations in phases (i.e. between sets of dates) rather than in one big go. Maybe do the last year first, and then back fill with progressively older items. The biggest tangles I had to sort out though were down the the folder -> label conversion. Gmail didn't (doesn't?) like it when a mailbox has too many hundreds of labels.
