bjohnny42 Posted February 28, 2019 Posted February 28, 2019 We are just working through changing the way we work from staff taking away a specific piece of paper with parental contact details Medical and Dietary Info on to something else. Contenders are Emerge on school owned devices, be they iOS or Android. (Pretty expensive as 25 could be away at once). Sync before you leave site. (Sometimes this can be flaky so it might not sync and you have hundreds of pupil details available which you don't actually need. Google Docs created by the office for each trip accessible from our google drive / shared with that individual. Set to work in offline mode before you leave site. We do use evolve which can be accessed if you have an internet connection, though this is most places it isn't all by any stretch of imagination. What do other people do?
robyholmes Posted February 28, 2019 Posted February 28, 2019 Documents email to staff members, opened in school before they leave. No Internet connection required. O365 policy requires device encryption and password to sync emails so keeps the files safe.
edmokeski Posted March 1, 2019 Posted March 1, 2019 I'm pretty sure we use Google Docs/Sheets, which are then either set to be available offline, or otherwise saved locally as PDFs on school iPads (with minimum complexity on the device passcodes). Paper too easily lost, particularly once the threat of huge penalties under GDPR came in.

Larger trips have multiple staff so risk of no access is less.

Yes, same here as robyholmes said - it's much like losing paper (although more expensive!), but with much lower security risk for the data. They can ring the school or emergency contact for info, or get to a trusted internet-connected device to get a new copy (about to get slightly more complicated as we roll out 2FA). Big trips have multiple staff, so multiple iPads w/ copies of the info.
