[sims] Update all course memberships?

I'm in curriculum assignment by scheme - trying to change a students set, everything is very old (2008/9), do I hit update all course memberships? Can it do harm, will it be for just my machine or all? The warning of it will take a long time scares me and I've only had data privileges since Sept! Still learning A LOT. Any help much appreciated, I did search and couldn't find anything. Thanks!

Each student has a membership of a class in the Student Curriculum screen. They also have course memberships for the qualification they are studying. Update Course Memberships (UCM) automatically updates the course memberships for students based on what class you have assigned them to. Think of it as a bridge between the two.

 

Example:

 

- You assign a student Joe Smith to the class 12A/Ma which is Year 12 Maths. The student joined the class on 1/9/17 and membership ends on 30/6/18.

- You run UCM.

- UCM looks for any course that 12A/Ma is assigned to (in this case it finds a record for 12A/Ma in A2 Maths).

- UCM creates a course membership record for Joe Smith in A2 Maths with a start date of 1/9/17 and end date of 30/6/18. If the record already exists, then it updates the appropriate course membership record in the course.

 

NOTES:

- The class must be assigned to the course for UCM to make a link between course and class memberships. If 12A/Ma isn't in the A2 Maths course then UCM won't automatically create the student's course membership. These are generally transferred over from the timetable if the levels have been set up correctly. If Auto Update Classes is unticked in the course, you will need to assign the classes manually.

- Courses with Auto Update Course Memberships unticked will not be altered by UCM. Handy if you have a class spread over multiple courses (like BTECs with their single/double/triple levels). Any changes will need to be made manually.

- Any student record in a course with the Protect box ticked will also be ignored by UCM.

- This generally applies when making changes in bulk using Curriculum Assignment by Scheme. When using Curriculum Assignment by Student to make changes to an individual student, changes will be saved in Course Manager automatically for that student without having to run UCM (taking into account the exceptions mentioned above).

 

If this is hard to understand that's because it is! Trust me, you will get the hang of it as you go along.

 

 

Also you will want to use Tools > Academic Management > Set Academic Year to change to the current year so you aren't seeing old information. UCM will only act on course memberships that fall within the year currently set using that menu route.

There's a link in the top left hand corner of the HomePage that shows your current Working Academic Year and clicking on it you can change it if need be.

To be fair, it is relatively new, within the last 12-18 months.
