Hi Everyone,

I would like to introduce a policy in school that forces every staff member to contact IT before buying new software (or even hardware) or before signing up for any online subscriptions. Above that the must contact the Data Manager, if students, staff or parent data is involved.

Does anyone already have a procedure or policy for this? Would you mind sharing? ;)

Not sure you really need any additional policy for that, We have about 2 lines on it in one of our other ones. Basically saying any Hardware/Software orders must be countersigned by the IT team before it'll be ordered, and if it isn't finance reject it and push it to us to check

Thanks Steve. Yes, we already have those 2 lines, too. The problem is that first of all staff does not stick to the rules, and as soon as something is free (mainly online subscriptions like Blogs, Forums, etc) they do not report to us at all. But as the teachers only see there classroom they have no idea on how many websites the students have to be registered. We want to get hold of this an restrict it to a minimum that is necessary. And above this, with GDPR coming up, we would like to know where there is actual data of students and staff stored.

Oh in terms of free ones that's just down to normal DPA though if they're given out student datas willy nilly. If the students are signing themselves up guess that's bit different though hmm

 

If they aren't sticking to them that's more a management need to give em a kick :p
