We are not on O365 yet but on our mail server we have a rule that appends an HTML section that we designed to the emails of all users within a group. It has an exception looking for specific text in the email so as not to add the signature every time. We then let people add their own names as a signature within Outlook. Would be nice to standardise the name and job title as I have seen some in bright pink curly font but at least with our footer it looks better.

If you go into Exchange admin you can do this for free with a mail flow rule.

 

Hear are and the settings from our mail flow rule:

 

 

jblogs.sch.uk Outbound DisclaimerIf the message...Is sent to 'Outside the organization'

and sender's address domain portion belongs to any of these domains: 'jblogs.sch.uk'

 

Do the following...Append the message with the disclaimer '


This e-mail is privileged and confidential. If you are not the intended recipient, please delete the message and notify the sender. Any views or opinions presented are solely those of the author and not of Jo Blogs School.

 

We have taken precautions to minimise the risk of transmitting software viruses, but we advise that you carry out your own checks on any attachments to this message. We cannot accept liability for any loss or damage caused by software viruses.

 

'. If the disclaimer can't be applied, attach the message to a new disclaimer message.

We do the same as MicrodigitUK but I have hit a small issue that Microsoft don't seem to want to help with. We populate ours with some AD attributes that we sync from AD -

%%Firstname%% %%Lastname%%

%%Title%%

%%Department%%

 

 

Direct Line: 

xxxxxxxxxxx Ext: %%phonenumber%%

Mobile: %%mobilenumber%%

Fax: xxxxxxxxxxx

 

The problem I have is that as an admin I have set a recovery number in O365 for my account and in AD I have no mobile number. Microsoft are populating the field in my signature with my personal mobile number (I have no work mobile, and don't want one!).

I have put a dummy number in AD but that doesn't work, so I am stuck with my number in my signature unless I really complicate things and have an exception set just for me. I tried hiding the number in O365 profile too, but that failed. Really annoying.

If anyone knows a way to stop this easily, I would love to know.

I keep my account and my admin account separate, so if I need to do anything I specifically log in as an admin. Would certainly solve your issue! My admin account is also cloud based where as everything else is DirSync'd so should anything disasterous happen that wipes all our sync'd accounts out I can still gain access through the cloud account.
