Copying DVDs of students

Hello,

 

We're embarking on our annual film the students singing Christmas songs, then make the poor sods in IT copy 100 DVDs, print 100 DVDs, make 100 DVD cases etc.

 

I've had a really competitive quote for a company, who we have a relationship with anyway for the website, to duplicate, print and generally take this off my hands.

 

We don't have our own duplicator so it is my laptop and my technicians banging out one copy each per 15 minutes. Then we have to test them so it eats up about 10 working hours each to get it done.

 

We don't risk using burners in the IT suites as we end up with too many coasters as the drives are never used.

 

My DSLs are concerned about getting an outside company in to duplicate then. Regardless that they have complete control of our website and all the content on there!

 

The students are primary age for this DVD, we have consent from parents to send DVDs out to all families and we're a special.

 

I can't see any issue in this, but my DSLs won't sign off on it unless they have ironclad in writing evidence that they won't get in trouble for it. I won't do it without their agreement as any knee jerk reaction to this would end up aimed at me!

 

Normally I'd just drop this idea, but we have enough work on without wasting a couple of days just burning DVDs. And yes they have to be physical DVDs since the school has done this back into the Middle Ages. I pity my predecessor who had to copy 100 VHS tapes!

If you only have permissions in regards to sending them out to other parents, and not the general public, I guess he's concerned that you're effectively distributing it to external people (even for the purposes of copying) without any permissions. Or was it a generic distribute to public form signed?

Sadly it was implied consent.

 

If you don't want your child on the DVD then tell us.

 

The DVDs are only distributed to parents and that is was the implied consent agrees to, but with 100 copies flying around you know some will end up with relatives, or being copied, or ripped or just dumped in the bin!

Could the company bring a duplicator on site so that a member of your IT team could 'babysit' them to make sure they don't take a copy?

 

In that sense, they wouldn't be taking anything offsite.

I've asked, the cost would be prohibitive and they basically said they wouldn't do it anyway. Far too much hassle for them and I can't say I blame them

Implied consent isn't gonna be enough if you're distributing videos of children externally.
