changing a gradeset

I have been asked to change a grade set, actually remove a grade from it, I know this will affect the existing data but as long as we are not looking to change the past data I assume this can be done without any issue, please advise.

Yes, this is straight forward to do in SIMS, but if the Grade set has a lot of entries then it can be a little time consuming. You need to go in to the Grade set (Focus | Assessment | Grade set) open the one in question and add a new Grade set version starting today or some future date (you can put historical dates in but if the grade you want to remove has been used since that date you will need to remove it first). You will then need to define all the grades that you want to be valid from that date onward (unfortunately SIMS doesn't have a copy function for Gradeset versions so you'll have to re-enter them all again and just leave out the one(s) you don't want any more.

Thanks for your advice, I have 100s of different aspects use this gradeset, will the aspects automatically pick up the grade set change? Fortunately I don't have any data inputted for current academic year for which we want to make the change. I am only worries about the data from previous years, will this become unusable?

Yes all aspects will automatically update. If you use those aspects in any marks to grade formula in templates then they will NOT automatically update so you may need to run a report to look for them and manually amend those formula columns.

You can still enter any grade in an aspect for the date that grade is valid (i.e. if you back date a result to the previous academic year you can still enter a grade that doesn't exist any more) and as long as you remember to take dates in to account when doing analysis it won't affect what you can do at all.

Am really grateful for your advice, theoretically I expected what you explained but I was hesitant to put this into practice, now I am confident to do the changes. Fortunately I haven't used this in any marks to grade formula. Have a great day.
