I am not a techy so please bear with me. Our school is moving our shared area to Google (probably over summer) and I have been given the job of test driving some of the changes #luckyme

 

Anyway, there was talk of 2 step verification/authentication on secure folders, which in principal I agree with. You can access a code either by text or by an app on your phone/ipad or a security key device like this:

For our staff who move about and sign on to numerous computers each day, this may save a lot of hassle as they won't need to be sending text messages etc over and over again.

 

I was wondering if anyone on here had any experience using them. Any advice would be appreciated.

How are you doing 2 step verification on folders? I thought that was a user setting?

The only way I can see this working is if 1 account holds all the shared information on it's Google drive, and shared access is given to all other accounts in the organisation. Then individuals log into their Google account using 2 step verification and access the shared folder of resources. You could possibly then delegate edit permissions to each account to add files into the shared area.

That's how I would see it working too.

The two step verification is a user setting so we would potentially have it for our own personal work email addresses, and the addresses we set up for the 'shared folders'. Lots and lots of asking for authorisation hence investigating the key method. I am wondering also whether a single 'key' can be used for multiple accounts.

The app on your phone would be the easiest and quickest thing to do. You only have to do it once per lesson. If the teacher is in the same room all day then potentially they only need to do it once. The key fob is just going to end up getting left in a pc somewhere. I think they would be less likely to leave their phones.

Some of our teachers and other staff for that matter move around a lot and will need to have access from multiple rooms, so it could be an absolute pain, you need one code for chrome and another for email on each device. We have to lock all our rooms when they are empty so teachers carry around key fobs as a matter of course, so if 'keys' were attached to these, they would rarely get left behind. I think the principal would have issues with teachers potentially having to use their phones in lesson time even if it is for a code.
