Hello helpers

 

Once set up, is it possible to change the Week A/Week B set-up? We have a 2 week cycle (not mirrored) and the week before half term there are only 2 days of Week B before breaking up. The week back is Week A, which they now want to change to Week B to ensure a full week tuition. This will obviously have a knock on effect to the rest of the academic year.

Sure is possible, with caveats.

You'll lose any future marks, absence, cover etc that is linked to the scheduled data.

 

Get everyone out of the system and you can Apply Timetable again and alter the weeks A/B. I've never found it easy to make it auto fill so only ever do one half term at a time. You can just manually change the week in question though.

Right, thank you Vikpaw. Sorry to ask, but being new to this I don't know how to 'apply the timetable' or where/how to change the a/b weeks. I've taken over from someone so didn't set it up. It's probably very time consuming but if and when you get time can you PM me instructions? Happy to pm ypu my work number if that's easier. Thank you

If you're new to this, then i suggest you make sure you have access to Capita's SupportNet website, which is soon to be updated to a new portal.

Check out the timetabling manual, so you can go through the process properly.

You should also be able to access from the documentation link on your SIMS homepage.

 

The routine can be finicky and is available from the menu route Tools | Academic Management | Apply Timetable

You'll need the relevant timetabling permissions to make sure you can access and run this.

 

Essentially, you see all the days of the calendar, and have to allocate which timetable days should be taught when. So the simplest is Mon to Mon, Tues to Tues.

In a two-week case, MonA = Mon, TuesA = Tues etc. then the next calendar week you'll see MonB = Mon, TuesB = Tues etc.

What you want to do is alter the existing set up, so you could even narrow the date range to only the week in question then alter the monA to monB or whichever way around you want for all the days.

 

As said before, it will affect any marks, cover etc. that are already against those days.
