Email Mailbox

Hi All

 

I've just joined an organisation where their email addresses are hosted by the same company who are hosting their website. The mailbox provided is something like 150 MB and fills up almost every week but the company will charge ridiculous for additional storage

 

Using the same email address, I've opened an account with outlook (mostly for the 5GB of storage) and wondered whether I could get the other company to stop hosting our mailbox without it closing the account or preventing emails coming through. I've never had any issue with Outlook and would probably end up buying additional Onedrive storage for the company provided their inboxes didn't suddenly stop working.

 

Sorry if this is a dense question. I've sort of been handed this and haven't been in a situation with such a small mailbox before.

If you're not an educational organisation/charity, MS would want you to pay to have your email delivered to them.

 

However as a quick hack you could just forward all your email to the outlook address

Luckily we are both so that shouldn't be an issue. What the issue seems to be is that the other mailbox is filling up (even though we're using outlook to send/receive) which is stopping it from working.

 

We had forwarders set up so we didn't have to use the webmail on the website but it still filled up as the sent box was filling up as much as the inbox.

 

I'd like the other company to stop hosting so we can all just use outlook. We'll probably look into education plans etc. once we expand but the 5GB of storage each is more than enough at the moment as we're quite small. 150MB is a bit on the small side though. I just don't want to tell them to stop hosting only to find that the email stops working

You’ll need to change your mx records so that mail delivers to the other tenant and then you can stop using the old one

You may as well get on with setting up your tenancy straight away - it's free and you'll end up having to do extra work if you migrate twice.

 

Pretty sure you get more features with the free edu version compared to the not for profits offer and it's potentially more straightforward to get authorised. In either case you'll get 1TB of SharePoint storage which should keep most small organisations going for quite a while.

 

As others have said, you just need to change your DNS records to redirect the email. When you run the setup for your MS tenancy, there's a wizard that makes it completely straightforward to make the required changes to redirect your email.

Yeah, just sign up for M365 for Education, completely free, basically infinite storage, setup your users to have the same email addresses as exist now, then change your MX records and email will start to go to M365 instead.
