cw222 Posted September 7, 2018 Posted September 7, 2018 (edited) Dear all, We have had some late entries to the college and have had some students where the exams officer has noticed that they cant add in the new student due to a duplicate UCI number. SIMS exams organiser says UCI - not unique. The exams officer has checked with the previous school and they have supplied the correct UCI When running the DBdiagnose I see the line that is produced is : [30] Multiple people called FORENAME SURNAME with DOB 00/00/0000: (1-Cand, 2-App,Stud) As I understand it this means that we have two versions of this student in the database one as an exam candidate and one as an applicant/student? Esteban_Child_of_the_Sun Posted September 7, 2018 Posted September 7, 2018 If the candidate was never entered for exams and never had any results entered against them then it is easy to delete them through Exams Organiser. However if as is usually the case they do then you need to ascertain if the information about their exams needs retaining, if not you can go through and delete each piece of info then delete the person. If you do need to keep the data then you need to merge the 2 records. For that you will need to log a call with your SIMS support. For GDPR it is strongly advisable to merge the records if you need to keep them, as just removing the UCI from one record and adding to another will mean all that information gets missed off the personal data output, potentially causing you issues int he future. 1
