Engineers timesheets

Not sure if this is relevant here.

 

I run a team of 4 engineers that visit different schools. I'm trying to find an easy way of monitoring how long they are onsite (not in a big brother way) this is mainly for invoicing the schools for work done.

 

At the moment they fill in a google doc that they put how long they where onsite, then I have to trawl through them to check hours and then input them on a sheet that totals up how many hours have been used for each individual school. As you can imagine this can be very time consuming - especially when they forget to update their sheets regularly.

 

Can anyone suggest a better way to work this? Free ideally :-) but if I have to subscribe to a paid service then that's ok.

 

If it's any help we use google mail, calendar etc. so if google offer something that's even better.

Just spit-balling off the top of my head but a Google form that outputs to a Google Sheet with totals tallied up on a separate tab should work. Alternatively a helpdesk that allows time to be allocated to a ticket may be able to have a report generated per client giving you the times. Only issue with that would be any time spent on a ticket not logged by the school would have to be created by the engineer.

 

Going completely left field, get them to sign up to IFTTT and then use a recipe for each location to log time arrived and time leaving a geofence around the school to a google sheet. Then create a formula to tally up the time differences and output in a friendly manner. Won't be precise but may serve your purposes.

 

Mostly them forgetting to fill it in is a different matter altogether, human issue not tech.
