SIMS Profiles: Help Needed: Copying Free Format Comments from one session to another

Hello

 

My first post on here and quite a complicated problem

 

I'm a new Data Manager (2 weeks into the job) with an good IT background, but new to SIMS.

 

We have an issue in PROFILES whereby we have two active sessions:

 

Session A - has been set up incorrectly

 

Session B - has superseded Session A and is the correct session

 

 

Some teachers have entered free format comments for some students into session A (the wrong session) and we need to :

 

 

  1. Identify the free format comments that have already been entered by teachers into Session A

 

 

  1. Copy the free format comments from Session A to Session B

 

 

Our local authority help desk have advised me to lock 'session A' so that the problem does not get worse.

 

Comment banks are not being used, it is just free format comments

 

The general concensus among the help desk is that we are stuck !

 

Any help and guidance will be welcome

Hmm.

MY first thought is that if you print a class check sheet for the "wrong" session, that will get the text of any comments which have been entered into a word document.

these would then have to be manually copied and pasted into the correct session. Do-able but tedious for someone.

Thanks, I'm really new to this !

 

I tried the "class check sheet" but once SIMS ran the utility it started asking me for some client codes for printing , not too sure if that's our school network printing setup or something to do with the SIMS utility. So it was doing a direct print rather than giving me an electronic document to copy paste

 

If I was doing this from first principles it would be great to query the database tables direct.

 

I cannot believe there's no way of getting at the free format comments !

Are we thinking of the same draft print ?

Profiles>Data Entry>List Entry

Pick up a group, click on the first name in the list, then click Print button and select Class Check Sheet.

this should open a word document with all the comments for that subject for that class.

I managed to export a set of comments for a class and subject to a word document.

 

I have a whole years worth of classes / subjects to investigate (although hopefully not many teachers have entered data into the wrong session)
