Students only showing in Marksheets?
Hi,
We have two students, one who never joined the school and one who is a replica of another student (but ina lower year group) appearing as students in Marksheets.
We cannot find these students anywhere else in SIMS apart from Marksheets! Anyone know how we remove them??

Hi Ellis,
have you checked your pre-admissions groups? I tend to find they lurk in there... if one is a genuine duplicate, the duplicate can be deleted via "Routines > Student > Delete Student" (be very careful with this, it will wipe all traces and there is no undo!). The other one could be trickier: chances are they were admitted, timetabled, then removed. In that case I'd talk to your timetabler to see if they know of a way to delete just the timetable (as you should keep that student's details in pre-admissions now even if they didn't attend)

Hi,
Therein lies the problem as going to 'Delete Student' they dont show up, in fact they dont show up anywhere in SIMS.net apart from being in the Year 7 Mark sheets..

18th October 2011, 05:08 PM #4 They have probably marked as leavers. Marksheets show pupils for at least 30 days afterwards so that reports can be written.

Try removing the appropriate class from the timetable. It will have been added when the pupil was either in school or in Pre-Admin. Save the Template and then re-add the class with a different start date. It will no doubt already be after the 30-day rule that Phil has highlighted above! If not, then make sure it is!
You can also delete the Pre-Admission Groups once you have ascertained that they are no longer required for anything (such as tracking 'children missing from education')

18th October 2011, 10:26 PM #6 also try refreshing course memberships in course manager and checking they are not in the classes there.
Be careful with course memberships if you have had someone do a lot of manual work for 2 year post-16 courses and haven't protected and removes the autoupdate membership as this will cause problems with your summer census.

You may also have to run the 'Validate Memberships' routine.
If you have not done this for a while it could take a long time!

I've come across this issue a number of times. For me, most frequently, it is a pre-admission student being given an admission status of Accepted during the summer so that they can be assigned classes in preparation for September. Once the classes have been assigned (and marksheets created) September comes around, the pupil doesn't show and the Application status is set to Withdrawn.
To fix, Focus > Admission > Application > then set all filters to All/Any and locate record.
Change admission status to accepted then remove from Curriculum structures for the whole of the academic year.
Return to admission area and set record back to withdrawl.
