    SIMS Exporting primary parent contact main email addresses

    I am trying to create a report which contains the following:

    Admission number
    Parent main email address

    Quite simple I think. However, I am getting the following:

    * Admission Number
    * Blank Email
    * New Row
    * Blank Admission Number
    * Email

    But not consistently. Sometimes, the admission number is on the same row as an email address, somtimes not. Sometimes, the same email address is repeated on multiple rows etc...

    Any ideas how I can get Admission numbers and Email addresses on the same rows?

    I need it in a simple format, as I intend to import it programmatically into our cashless catering system. I'd prefer not to have to figure out some form of weird parsing mechanism to get it to stick things together properly...

    Is it because you are getting results for multiple contacts? Can you put the contact name in the result to see, if so then you are either probably not filtering via contact priority or the priorities are not set appropriately in SIMS. As an alternative you might try "return first result only" on the sub report filter.

    I've just created this report in my SIMS.net, I have it set up as following:

    Students -> On Roll
    Student Fields: Admission Number
    Contact Sub Report Fields: Main Home Email
    Contact Sub Report Filter: Parental Responsibility = True, Priority = 1,
    Include Records with no such contacts = False
    Display fist record only = True
    Output: Excel Standard Portrait, Divider frequency = 0, Suppress Duplicates = False

    That works perfectly for me, I'll send the rptdef if you like

    ARGH! emails in SIMS, my nightmare from before xmas.

    It depends how you ask for the information. See if JoshJohnson's report does what you require if not, i'll edit my data collection report that i did recently, which extracts all emails for all priority 1 and 2 parents.

    If you supress duplicates or only allwo return of 1st match from sub-query that could solve the problem as with J'J's report.

    It all depends on what data you have in your system. You can ask for Main Email, but SIMS lets you have a Main Work, Main Home, etc, so even though you ask for main you can get more than 1 back. There is a separate table called Emails that holds all emails, and you could sub-report on that, and set filter to be Main, but you would still get multiple matches.

    If you only have one main email marked per contact it's not that bad.

    I've posted elsewhere regards emails / data collection / schoolcomms as it took me weeks to get the report definition correct. I've posted it on SupportNet but not sure if it's on the 'Geek. Only downside is that it goes to Word in an array of tables, and so i structured it a certain way, but it's a basis to start from.

    Be warned, it was so complicated that i had to run a main report followed by 4 sub-reports (actual separately created reports called from within the word rtf template, not just sub-queries) to get all the information we held in the system out.
