We used an internal secure Wordpress blog to keep track of tech knowledge stuff, used Trellis Desk to log service calls, and had a filing cabinet with hard copies of all software and licence keys - very low tech I know, but worked!

Most items are in Google Docs but server stuff is in encrypted file.
