Quotas - Do you use them?

Just wondered how many people put a quota on staff and student files?
We never have and currently we have about 3TB of data which is getting unwieldy to back up.

If you do put quotas on how much are staff and students allowed?

In this day with video and audio files prevalent in every subject how do you manage it?

We have the following in place -

Staff Home Drive - 15GB each (Soft)
Staff Media Drive - 25GB each (Soft)
Student Home Drive - 5GB each (Hard)
Student Media Drive - 10GB each (Hard)

We have file-screening in place also to make sure media files can only be saved into the Media drives. Most get nowhere near the limits and then there are a small handful (staff) who go way over - our performing arts manager is currently 2017% over the 25GB limit!

We have a group policy setup to create folders like so on a Media share. The students can only see their own. Staff is the same but they have access to the Student media files also.

We don't hard quota staff but FSRM tracks what they have in their individual user areas (I think the soft limit may be 3Gb) - of course we have some staff that don't use anything and some that use way more so does tend to balance (we have ~200 Staff)

Pupils are different, we have 1500, each student up to Year 10 has 3Gb Hard (which automagically moves to 3.5 if they hit that limit) Year 11 & Sixth Form have 4Gb with no increase. If a student does need more space they have to justify it.

We don't do any filtering as found it a pita especially with the likes of media/ video and audio work.

How are you backing all this data up?

Our pupil server backup is currently just over the 1Tb mark nightly

Our Staff User Data server is ~350Gb nightly
Our Staff Common Data server (department shared resources) ~800Gb nightly

We use Veeam which can easily handle this and all the other servers we have in a night

    FSRM:

Students get around 512mb, Staff get 6gb. If students want more, they just ask. Sixth Form usually get 1gb.

What are you backing up to? Nas Drive? Are you doing full backups each night?

How do you cope with things like Photo shop where RAW files can be quite large?

Seems to cope just fine, Sixth Form are the main users of Photoshop, so thats why they get the extra. It also teaches the kids to be conservative with space and not fill it up with internet memes.

We have one physical server with ~12Tb of storage for Veeam to backup to.

We run nightly reversed incrementals each server has a minimum of 14 rollbacks and in the case of staff and pupil servers they are ~ the 60 rollback mark

the rollback sizes (basically the changes) in most cases don't tend to be massive around 10Gb on average

What is FSRM ? And how can I Install and set it up ?

Currently I have quotas set up on staff, 2GB per user. (This is done under quote management on Server 2008)

Im not entirely sure what happens on Server 2008 Quota tool, but once a user hits 2GB it doesn't stop them saving anything in the home drive of the user. They can Just carry on using as much space as they like (although thats how it seems)

Are your file servers virtual then? Can Veeam backup physical servers the same way something like backup exec can?
