    End Of year maintainance

    With the end of the school year coming up.
    How do you go about cleaning up the network specifically the year6's or year 11's that have left?

    Leave them for 6 months then ZIP archive the user folders to near line storage.

    Disable the accounts if they have not returned in Y12. And delete after 12 months if they don't come back.

    Back everything up.
    Delete years 7-11 & 13's Home directories.
    Delete Yr 13 network & email accounts.
    Delete every video in staff h/Directories & shared areas (we have other methods for that)
    Move any file/folder over 3 years that has not been accessed to our archive
    resize every picture down (except Photography)
    NXPower to compress PDF & office files
    Dust out every workstation with a compressor
    Enjoy six weeks with no staff / students

    Charge wine /beer /fruit /chocolates as payment for retrieving ANYTHING from backup in Sept.

    Happy Days!

    Our Yr 11's had their accounts locked on our official leaving day (last Friday in June) and the accounts will be deleted over the summer (no sixth form).
    Staff leavers remain active until their contract end date - nominally end of August for most, so they get the summer to make sure they have copies of the data they need and to tidy up their user areas.
    User folders are archived off during the summer and then deleted completely after a year.

    I will also spend a day or so in the summer having a general tidy up of our Staff Shared area, VLE etc, just organising and removing stuff that gets renewed each year anyway.

    Rule of thumb. If you delete something, someone else will want a copy at some point....

    Users are left on the system for 12 months but are disabled and visibility removed from the exchange lists. All data is archived after 12 months, users are deleted from AD but the data and .pst's are kept for another two years just in-case. Existing users home directories just roll-over until they leave which can be up to 7 years from the date of entry.
