Yes, I very much understand it's school specific.

Any ideas would be appreciated and maybe a format of the write-up

Hmm, do you actually put what sort of specs (model/make etc) you might be going for? Also cost estimates of future equipment?

I have written a few development plans but they haven't been less that 6 years long as this allow you ask for a fixed amount every year and carry money forward to pay for large items like network switches and servers.

Another tip would be to focus it around services rather than bits of equipment as this is easier for SMT to understand.

If anybody would like help with costing for various options I'd be happy to give some. We've got excellent prices for Servers, Workstations, Laptops and well pretty much everything right now.

I am trying to make it as comprehensive as possible because it will be going to the Governors as well. I hear what you say about focusing it more on services but my governors are more particular about equipment cost. Do you mind sending me a format of the previous ones you've written?

I wrote one for my last place just before I left. It listed the next five years, and gave them three options in each year, a) to upgrade b) to stay the same c) to reduce their capability and the costings associated for each.

18 months on, and having told me how vital it was for their future, they've done nothing and invested nothing. *shakes head in disbelief*

I will see if i can dig it out.

Focusing on equipment cost doesn't show the real cost, this is the main reason IT budget are the first to get cut by SMT/Governors as they miss the difference.

One of the best example is email, If you look at the cost of a new email server and software its about £6000 (im generalising costs here) but the true cost is much higher £12,000 as it relies on network infrastructure, client desktops, client software being in place .

A finance manager would happier set aside £4000 pa to run email over spending £6000+ once every 3 years, as one off costs are harder to budget for.
