Purchasing database project

Since we are a British Int'l School, most of our teachers are Brits but our support staff came from many different countries. Our School purchasing dept purchased almost the same kind of stuff from stationaries to cleaning materials. A British teacher will request some kind of a stationary and the same kind of stationary was ordered also by a non British support staff but it was named it differently. Our purchaser who is American always get confused and most of time buy different kind of stationary.

Now our SMT tasked me to create a database for the Purchasing Dept which will solve this problem. It has to contain a photo for each item and the detailed description with all the names it can be called and must be searchable either by description or name. The database will be published on the intranet and it has to contain a search bar, for searching the item. I know only MS Access but it has been a long time since I created a database.

Does anyone has a suggestion on how to tackle this project? Or is there any existing database of the same kind you can recommend?

Well there are a few things youneed to look at:

1 - you need to have a method of uploading the photo and storing it, do this in a folder and have a colum in your product table with the path to the photo NEVER store the photo in the database it slows the whole thing right down.

2 - You will be looking at having a table for the items, a table for suppliers linked to your items.

3 - you are going to need a way to administer the database base, I would not advise editing the database directly, some sort of admin area to add all the details.

4 - What programming langauge are you going to use ASP or PHP?

5 - If it is going to be published on the intranet do you want all to have access or is it restricted?

That should keep you going for a while, shout if you need anymore help.

You could just use an opensource or cheap e-commerce site type settup as this would provide all the features that you are after. This should be able to generate a purchase list which can go to the supplier.

maybe a good idea as an addition to mlh oz. Having supplier info in makes it like a crm for schools.

I would go for the ecommerce shop Idea. Set a server up with Joomla on it and put an e-commerce system on that (free ones are out there) and that should be a good solution for you,
