    Just thought about barcoding all equipment and having a piece of software that records the details. Does anybody have a similiar sytem?

    Agree with WASP - we are just implementing MobileAsset at the moment - using Motorola Symbol MC35 PDA's with it. Brilliant software.

    Oh, and the barcodes we had made by these people. They are helpful and the turnaround is quick (5 days from receipt of proof confirmation).

    All out kit has a barcoded asset label on it and we just record the information in an Access Database which gives us the most flexibility in terms of what we can do with the information.

    Initially we record the serial number and make/model of the kit against the asset number and then from then on everything is logged at the asset number level. Scanned at least once a year to confirm its location, and scanned everytime its location changes significantly.

    To record the serial number generally just means scanning the barcoded label that is usually present on most bits of kit these days - although sometimes scanning the box it came in is easier.

    We can generally get the database to guess the make and model by comparing the serial number with others in the database (often brands like HP have one barcode on the kit that is made up of the product number and the serial number which makes this more reliable).

    To scan the bar codes we have got bluetooth barcode scanners - but these have been playing up of late so we are going to be looking for something new soon.

    The barcode scanners just basically replicate keystrokes - so really it is down to how you write the database.

    We have one screen that has a box to scan in the asset number and a box to record the location.

    If the asset number is not recognised then it pops up a box asking you to enter the serial number and make / model information. When you scan in the serial number it has a stab at filling in the make / model info from comparing it to serial numbers already in the database - but you just overtype these if they are wrong.

    So you end up with one table that holds all the information about the asset - asset number, serial number, make model. Then you have a second table that records asset number against location.

    If you join the two tables together in a query then you can get all the information you need.

    We have developed it further to keep a list of what consumables go with which makes and models to help with ordering and it is all linked in with our helpdesk so people can log faults by asset number to save time.

    We also rename our PC's and Laptops to match the asset number which can help if we need to access a machine remotely.

    Got a tiny bit of money left and am actually having difficulty spending it! lol

    Yes, they are worth it. I wrote an asset system for the theatre a couple of years ago, and they do an annual census for the auditors because it's a council building. Used to take three weeks flat out with paper and pens; now they walk around wafting things and it works out what it is, where it's supposed to be, where you've actually found it, and generates a report accordingly.

    I'm estimating it will take about two days this year, because there are a lot of missing details to fill in, and a working day every year after that (I did two days worth in eight minutes last week as a trial )
