All staff e-mails
We use to allow any member of staff to e-mail an #allstaff distribution group but this got out of hand.
We then restricted the system so only approved members of staff can send e-mails to all staff. We have a central e-mail box that staff send e-mails to - get vetted then sent to all staff if applicable.
How do other deal with this?
We have a lot of other distribution group.
Do I let staff send out millions of e-mails or bare the brunt of their frustration?
We have all-staff moderated by a few users and a subset of users have send-regardless ability.
The only time it's an issue is when thre is something time critical and nobody is there to approve the mail
That is what we have experienced today. A time critical e-mail needed to be sent out but wasn't send out for a few hours.
Trying to think if there is a better way of doing it.
Seperate distribution lists:
Plus a couple more, anyway this has been a great boon and cut down on the amount of spam and yes we used to have an allstaff distribution list but now even the staff have commented on how easy it is as mail goes either directly to the group or to an individual as per requirement.
Been like this for the past 6 years :)
we do have an all staff list, but it is restricted and we have individual lists for departments / logical groups.
as far as bearing the brunt of the frustration. make a policy and stick to it. if staff have a problem with school policy its their problem.
funnily enough though its only education where i've seen the need for this, in other industries they tend to employ adults so it isn't so much of a problem.
We have several department specific mail lists and an all staff mail list (any member of staff can use) but we have found that the number of all staff emails have dropped since we created an intranet page for staff and another for students where they can post there s messages / reminders etc on. The intranet is then set to pop up on login as the default home page of all the browsers.
So may you should look into some kind of message board system?
We have an all-staff list that can be sent to by all staff. It's rarely abused.
It's probably 50/50 realising it would be annoying/being aware of my intolerance of spam.
There's also more granular lists, most of which I'm not subscribed to, but no-one's complained about excessive junk on those.
i used to have an all staff list but replaced it with two Academic and Support. we have others too like SLT and Subject Teacher lists. we dont get that much rubbish coming through, though i created the academic and support to mostly stop support staff getting purely teaching related issues :)
We have an all staff, plus sperate lists for teaching and support staff (since we don't need to know about little jonny's progress that needs reporting to parents), plus lists for SMT, Department Heads, Tutors (1 list per year and one for all 5 years) and some departments have their own list to make it faster to send mails between them instead of having to click peoples names.
Sometimes we get a stilly all staff e-mail that should have gone to someone directly, but it's few and far between incidents. Also only members of the list can send mail to it, so it stops kids from spamming it.
We have various distribution lists including an all staff, all non teaching staff, and all teaching staff.
Staff send emails out about anything, Football tickets, lost keys, etc etc and therefore all staff emails are not really looked at any more meaning when something important is sent out, its missed.
More of a political issue here than anything as there is no monitoring of all staff emails and management dont want it to be like that in case something important needs to go out quickly. Although they understand the issues above.
Swings and roundabouts.
