Hey all,
we have just had papercut set up for all the photocopiers. We have a lady who runs the printing room to sort all the photocopies. Is there a way that we can allow teachers to send prints to the photocopiers, and the head of the photocopying room can swiper her card, select the job and release the job which charges the department who sent the print? If that makes sence. To sum it up id like her to be able to release other peoples jobs without having their proximity card.

You have a few options:
1. Have each user swipe cards (which is a pain in your scenario).
2. Allow all users to release all jobs on the copiers. However, this charges the releasing person's account for it.
3. Use a desktop PC as a release station. (This is discussed in chapter 10 of the help manual).
However, all of these don't charge to a department (which I assume you mean 'account' in PaperCut terms?
If it is accounts you want to charge to, combining option 3 with a change to each staff member's account selection - change the dropdown to 'Automatically charge to a single shared account', and enter their department account in the box.

5th October 2012, 10:25 AM #3 Have the users print to the copier (each with their own account setup). For the repro user, within papercut there's a field titled "allow user to release jobs for" or similar - add all the users you want in there. The only thing with this, is it will release all jobs in one go iirc, so working out which job is which may be difficult, unless the option to add header sheet has appeared in scripting.
The other thing we've done for our repro tech is give her the manager mode pop up, she can then print stuff from her computer and charge to the relevant person and department.

5th October 2012, 10:31 AM #4 Thanks for your feedback guys, im reading them over and over to try get my head round this haha, they all have swipe cards btw but don't want to leave the class room they usually get a kid to go collect from repro. The repro tech does have her own computer, so you are saying we can do something that will come up on her computer to which she can select to release the job and charge a department?

5th October 2012, 10:34 AM #7 As far as release goes, I'd set your repro technician to be able to "release for the following users", they'll then be able to swipe and release jobs for other users at the copier.
You could do this with a print release station as well.
The other part was so that the repro technician can print documents from her machine and set where to charge (rather than setting charging for already sent job).

5th October 2012, 10:36 AM #8 you guys are awesome thanks for this. the document above make things very clear, one last question, if the user has pressed print and selected his/her department, when the user releases the document will it debit the department and not the personal account.

This depends on the settings of that user in Papercut. If it is set to debit their personal account, it will, but as mentioned earlier, you can set it to take it from a shared account instead (or a bunch of other options).
